whilst we will do our best to accommodate any last minute requests we usually require at least fourteen days notice for all bookings

provisional bookings are held for 14 days to give you time to make payment – if we don’t receive payment within 14 days your provisional booking will automatically lapse

if your booking is due to take place within 21 days of the booking date then payment will be required within 7 days

if you make a last minute booking request (within 14 days of the booking date) then payment will be required within 24 hours

IMPORTANT INFORMATION!

by making a booking with Butchers Coppice you are entering in to an agreement with us and in doing so automatically agree to the following terms and conditions – if you do not accept these terms and conditions in full please do not proceed with your booking

  1. Butchers Coppice Scout Camp (WE) reserve the right to refuse admission to any individual or group and to curtail use of the site at any time
  2. WE reserve the right of access at all times
  3. YOU are (your group leader is) responsible for the pastoral care of your group at all times and YOU must ensure that a responsible adult supervises all members of your group at all times – this includes making your own first aid arrangements
  4. WE follow the Scout Association’s Young People First Code of Practice (the “Yellow Card”), which sets out a code of behaviour for all adults in Scouting – we expect YOU and the other adults in your group to follow this same Code of Practice at all times whilst staying with us, even if you are not members of the Scout Association, in addition to any other Safeguarding practice adopted by your organisation – we expect YOU to provide this guidance to all members of your party in advance of your booking – copies of the Code of Practice can be obtained from us at reception – if YOU or any of the other adults in your group have any Safeguarding concerns during your stay these must be reported to us either in person or via our out of hours helpline, details of which will be provided to you on arrival and are displayed around the site
  5. WE offer free password protected WiFi facilities across the majority of our site – if you want to make use of these facilities please contact reception – by accessing our WiFi network YOU (and any other adults in your group who choose to make use of these facilities) agree that you will make safe and reasonable use of these facilities and will not act in contravention of any laws or the Young People First Code of Practice or in contravention of the Policy, Organisation & Rules of the Scout Association or your own organisation’s rules and regulations and will not access inappropriate content
  6. when taking part in any activities on site YOU agree to follow all safety guidance provided by us and operate any self-led activities in accordance with your organisation’s rules and regulations
  7. it is the responsibility of your supervising adult to take reasonable steps to ensure that any facility, activity or equipment is safe prior to use – if you have any concerns you should contact a member of our team prior to use
  8. this is a smoke free site except for designated smoking areas
  9. for all residential bookings any outstanding balance must be settled prior to your group departure – all non-residential bookings must be pre-paid – we reserve the right to charge a late payment fee of £20 to cover the administration associated with late payment followed by a £10 administration fee for each subsequent chaser – chasers will be issued weekly until such time as the outstanding debt is settled – non-payment within a reasonable timescale will result in escalation and you will be liable for any additional costs associated with collection of outstanding debt
  10. all deposits are non-refundable – in the event of cancellation or amendment a percentage of the total projected cost of your booking is payable dependant on the notice of cancellation – if you give us at least 60 days notice of cancellation you will only forfeit your non-refundable deposit – if you cancel or amend your booking within 60 days of the start date of your booking the total projected cost will be discounted by 50%, if you cancel or amend your booking within 30 days of the start date of your booking the total projected cost will be discounted by 25%, if you cancel or amend your booking giving less than 7 days notice you will be liable for the full projected cost of your booking
  11. should any part of the site or any activities become unavailable for any reason we do not accept responsibility for losses incurred as a result of any cancellation – our liability is limited to a full refund of any fees paid
  12. any facilities used must be left hygienically clean and tidy with any waste removed
  13. we do not accept any responsibility for any loss or damage to any personal property
